Event Learning
The Event Learning feature allows you to associate a single Learning Module or Learning Collection with an Event Part. This learning will then be allocated to any participants of the event once the attendance of the attendees is set and the event session has been finalised. Once finalised they will receive the learning and can access it from their learning pages or the event itself.
Associating Event Learning
Learning can be added to any Event Part. This means that where you add event learning changes depending on the type of event.
Single Part Events
As a Single Part Event has one Part, it will ask you to associate Learning with the event during the initial setup. At the point after completing the event settings and before setting the facilitators it will present options to add associated learning:
Multi-Part Events
For events with multiple parts, the learning is set when you create a part, not when initially creating the event. This allows multiple pieces of learning to be allocated at the point of completing each part.
Prospective Events
As prospective events have no parts or sessions until the event is confirmed, you do not associate learning with the event until it has been confirmed. Once you fill in the settings for the session once confirmed it will ask which learning you wish to associate, if any.
Deadlines and Reminders
Regardless of the Event type, once learning is added it will offer the ability to add Deadlines and Reminders. These can be absolute or relative deadlines based on the point when the module is allocated to the user which is the point when the event is finalised.
Event Certificates
Another feature introduced with Event Learning is the ability to add Event Name and Event Session date to a certificate. These values will only show if the certificate has been awarded as part of an event.
These new values are now available in the certificate editor:
These can then be positioned on a certificate anywhere required:
When a certificate is then awarded it will show the Event name and the session date it was allocated from:
Finalising Events
Finalising Events is a new feature introduced with Event Learning. Finalising an event session stops it being edited in any way and acts as the trigger to give any associated learning to the attendees that have been marked as present or late. People marked as absent do not get allocated the learning. When all event attendees have been marked as present, late or absent, a new Finalise button will appear in the top bar. The finalise attendance button will only show if there is learning associated with the event.
When a facilitator has marked all the attendance it will show the Finalise Attendance Button in the top bar:
When an admin marks the attendance from the event session admin page the Finalise Attendance button will show in the top bar:
Clicking the Finalise Button will present the user with a popup asking to confirm that they want to finalise the event. Once confirmed the event session will be locked from editing, and any associated learning will be given to the attendees marked as present or late. This action cannot be undone, once the event is finalised it cannot be unlocked or reverted.
Tracking Learning Progress
Once an event session has been finalised, an Admin or Facilitator can track learning from within the event in the admin or facilitator views. This will give them basic status (Not Started, In Progress, Completed), start date and deadline/overdue tags.
They can also monitor this learning in the same places other learning can be monitored as well.
Attendee learning
When an Event is finalised and learning is allocated to the attendees, they will receive learning in the same way they receive other training. To tell if it has come from an event, it will now include a tag stating which event it has been allocated from.
Attendees can also access the training from the event itself in the same manner as training elsewhere in the system:
Updated Event Menu
As Event Learning adds the ability to access the associated learning through the event itself, the user menu for events has changed to have a separate section for completed events. This allows easy access to events that still have learning associated. The menu has 3 sections:
Active Events - Events that are ongoing or scheduled that the user is either invited to or a facilitator of.
Completed Events - Any event that a user was an attendee of or facilitator of that has gone past its session end date.
Available Events - Any event that is available for a user to self-enrol to.
